Organization for Transformative Works: 2025 Budget Update

Through the last year, the OTW Finance team has continued to ensure that the organization's bills are paid, tax returns filed, and standard accounting procedures met. The 2024 audit is wrapping up so the focus will soon be on year-end reconciliations!

The team has also been diligently working to meet the OTW's 2025 needs, and is proud to present to you this year's budget update (access the 2025 budget update spreadsheet for more detailed information):

2025 Expenses

Expenses by program: Archive of Our Own: 67.4%. Open Doors: 0.5%. Transformative Works and Cultures: 0.5%. Fanlore: 3.8%. Legal Advocacy: 0.3%. Admin: 13.6%. Fundraising & Development: 13.9%.

Archive of Our Own (AO3)

US$560,321.01 spent; US$108,799.52 left

  • US$560,321.01 spent so far out of US$669,120.53 total this year, as of September 30, 2025.
  • 67.4% of the OTW's expenses go towards maintaining the AO3. This includes the bulk of our server expenses—both new purchases and ongoing colocation and maintenance—website performance monitoring tools, and various systems-related licenses, as well as costs highlighted below (access all program expenses).
  • This year's projected AO3 expenses also include US$450,000 to purchase new servers, as well as US$44,000 in server related equipment to increase the capacity of existing servers to handle expected site traffic growth through the year.

Open Doors

US$3,891.60 spent; US$1,240.18 left

  • US$3,891.60 spent so far out of US$5,131.78 total this year, as of September 30, 2025.
  • Open Doors' expenses consist of hosting, backup, and domain costs for imported fanwork archives, as well as an allocated share of various OTW-wide productivity tools (access all program expenses).

Transformative Works and Cultures

  • US$4,653.17 spent so far out of US$5,090.67 total this year, as of September 30, 2025.
  • Transformative Works and Cultures' expenses are the journal's website hosting, publishing, and storage fees, as well as an allocated share of various OTW-wide productivity tools (access all program expenses).
  • Additionally, in 2024, the University of Amsterdam provided €1,000 (US$1,061) to Transformative Works and Cultures, which will be used to help fund the Fans of Color Research Prize. Three prizes have been awarded in 2025.

Fanlore

  • US$31,602.78 spent so far out of US$37,565.43 total this year, as of September 30, 2025.
  • Fanlore's expenses are its share of allocated server hardware, maintenance and colocation costs, as well as its portion of various OTW-wide productivity tools (access all program expenses).

Legal Advocacy

  • US$427.92 spent so far out of US$2,927.92 total this year, as of September 30, 2025.
  • Legal's expenses consist of registration fees for conferences and hearings and funds set aside for legal filings if necessary, as well as an allocated share of OTW-wide productivity tools (access all program expenses).

Fundraising and Development

  • US$63,522.51 spent so far out of US$137,998.95 total this year, as of September 30, 2025.
  • Our fundraising and development expenses consist of transaction fees charged by our third-party payment processors for each donation, thank-you gift purchases and shipping, outreach work by volunteers at various fan conventions, and the tools used to host the OTW's membership database and track communications with donors and potential donors, as well as an allocated share of OTW-wide productivity tools (access fundraising expenses).

Administration

US$116,916.42 spent; US$18,008.25 left

  • US$116,916.42 spent so far out of US$134,924.67 total this year, as of September 30, 2025.
  • The OTW’s administrative expenses include hosting for our website, trademarks, domains, insurance, tax filing, and annual financial statement audits, as well as productivity, management, and accounting tools (access all admin expenses).

2025 Revenue

OTW revenue: April drive donations: 34.1%. October drive donations: 7.0%. Non-drive donations: 50.7%. Donations from matching programs: 8.2%. Interest income: <0.1%. Royalties: <0.1%. Other Income: <0.1%.

  • The OTW is entirely supported by your donations—thank you for your generosity!
  • We receive a significant portion of our donations each year in the April and October fundraising drives, which together will account for about 41.1% of our income in 2025. We also receive donations via employer matching programs, royalties, and PayPal Giving Fund, which administers donations from programs like Humble Bundle and eBay for Charity. If you'd like to support us while making purchases on those websites, please select the Organization for Transformative Works as your charity of choice!
  • Thanks to your generosity in previous years, we have a healthy amount of money in our reserves, which we can use to pay for larger than usual purchases and keep on hand for legal contingencies. As mentioned previously, we plan to continue to upgrade the capacity of AO3’s servers, which will significantly increase server equipment and server hosting expenses. The growth of AO3 and other projects of the OTW also requires more volunteers and administrative support, further increasing expenses. The budget spreadsheet projects a withdrawal of US$205,000 from reserves to cover the costs that exceed the amount of revenue projected to be received this year. This amount may be withdrawn as needed during the year.
  • US$602,410.00 received so far (as of September 30, 2025) and US$790,202.01 projected to be received by the end of the year.

Better Than Copyright

I think one big question whenever anyone like me talks about abolishing copyright is how to make sure that people who create works that would currently be placed under copyright would be compensated.

I want to first say that copyright does not exist to ensure fair compensation for creators. In the extremely unlikely situation that should happen to occur, it is, contrary to popular belief, an exception, a bizarre fluke. No, the rule is that copyright, in the vast majority of cases, serves as one of two things:

1. A lottery ticket to dangle above the poor. A way to get a larger mass of support for the laws underlying copyright besides the support of their primary beneficiaries.

2. A way for the primary beneficiaries of copyright, corporate suits who have never had an original thought in their life, to steal the rightful income of creators.

This is why I believe that copyright is worse for creators than having nothing at all.

Nevertheless, I do think there is something better than both copyright and not having any special incentives for creators. A system based on compensating digital works per copy viewed or downloaded. Note I didn't say 'bought'.

Because this system would compensate creators even if the work wasn't bought. Now, even in a system like this, some digital copies might go uncompensated. One can imagine scenarios where that would be possible. However, gone would be the days where someone else takes your work, sells it or gives it away for free, you find out, but aren't able to ever recoup that income. Instead, this system would compensate you for those works as well. At the same time, the other person would also be compensated for their advertising and distribution work. And thus, the pirate of today is tomorrow's (free to you!) advertiser and distributor.

Now, obviously, this system would require extensive logging technology. However, that technology largely already exists--activity counters and social media--it's mostly a matter then of modifying some specifics for that software and building the social and legal framework required to make a system like this work.

Any system created by humans can be changed by humans.

77 Years of Genocide

I think it's important to understand that what has been happening today to Palestinians in Gaza and the West Bank, the apartheid, the stolen land, the arbitrary incarcerations, the torture, the massacres, and the genocide have been going on since at least the founding of Israel. Israel only exists because of the Nakba, a massive genocide of Palestinians to kill and displace them in order for Israelis to take their land. Therefore, it is not only genocide denial to deny what has taken place in Gaza for the past 2 years, but to say that the conflict between Palestinians and Israelis started on Oct 7, 2023. To deny the Nakba is genocide denial.

The genocide of Palestinians hasn't been happening for 2 years, but 77 years. And it is upon this foundation that everything about Palestine and Israel must be understood.

Blackened Mushroom Tacos with Collard Green Slaw
Yield: 8 tacos Prep Time: 30 minutes Cook Time: 5 minutes Total Time: 35 minutes

Ingredients:

For the Blackened Mushroom Tacos
2 tablespoons extra virgin olive oil (or avocado oil)
1lb shiitake mushrooms, thinly sliced (oyster mushrooms or portobello would also work)
2 teaspoons smoked paprika
1 teaspoon dried thyme
1/2 teaspoon ground cumin
1/2 teaspoon garlic powder
1/4-1/2 teaspoon cayenne
1/2 teaspoon black pepper
1/2 teaspoon salt
8 corn tortillas, warmed
rice and black beans, for serving

For the Avocado Cream
1 large ripe avocado, pitted
juice of 1-2 limes (about 3 tablespoons)
1/4 cup cilantro
water to thin

For the Collard Green Slaw
2 cups thinly sliced collard greens (about 1 small bunch)
1 cup thinly sliced red cabbage (about 1/2 small head)
1/2 cup thinly sliced red onion (about 1/2 small)
1/2 cup radishes (about 4 radishes)
1/4 cup fresh cilantro
zest and juice of 1 lime
1/2 teaspoon salt

Directions:
For the Collard Green Slaw: In a large bowl, combine the collard greens, cabbage, red onion, radishes, cilantro, lime zest, lime juice and salt. Using your hands, massage the juice into the greens then stir to combine. Cover and refrigerate until ready to serve.
Fort the Avocado Cream: In a blender or food processor, combine the avocado, lime juice, cilantro, a pinch of salt and a few tablespoons of water. Blend until smooth. Add more water to thin, as needed. The texture should be thick and creamy.
For the Blackened Mushrooms: In a large skillet, warm the oil over medium heat. Add the mushrooms and the seasonings then stir until evenly coated. Cook for about 5 minutes, just until mushrooms are softened.
Spread each tortilla with avocado cream then top with cooked mushrooms and collard slaw. Serve warm and enjoy!

We finished reading this cookbook today. It's the inspiring kind that makes me want to hole up in the kitchen and bake until the whole house smells like fall. It uses a lot of autumn ingredients such as apples, pears, sweet potatoes, and warming spices. The recipes range from simple to elaborate. In addition to the classics there are some with twists and others that are more unusual. We found this cookbook at Ollie's, so if you have that store in your locale, look for it there.

Please read this post even if you have signed up before!

After reading this post, please look at the tag set to see what fandoms are available this year, and make a shortlist of what you plan to offer and request. (The same fandoms can be on both lists, if you want.)

Then sign up at the collection. We recommend you allow at least half an hour to sign up. While you can edit your sign-up over the next week, you will not be able to make any changes after sign-ups close at 9pm UTC 24 October.

If you would like to avoid matching to up to three other participants, with limitations discussed here, you may do so by filling out a Google Form from a link within the AO3 form. If you want to use this feature but cannot use Google Forms, please email the mods. Do Not Match requests will close at the same time as signups.


Requests

  • You can request 3-8 fandoms

  • Each fandom must be different

  • You can request 0*-4 characters in each fandom

  • *Requesting 0 characters means "I am happy to receive any nominated character for this fandom. My author gets to choose which one(s)". That includes Worldbuilding for fandoms where Worldbuilding is nominated as a character tag. If no characters are nominated for the fandom, requesting 0 characters means “I am happy to receive any character or worldbuilding for this fandom.”

  • "AND" matching means your writer must include every character you select. If you are happy with a subset of your selected characters, indicate this with Additional Tags, and clarify any exceptions in your optional details.

  • You can only request characters from the tag set, though your optional prompts may mention other characters to appear too.

  • In some fandoms, you can request Worldbuilding as a character. You can find guidance on that here.


AND matching and additional tags
Generally, when you select characters in your sign-up form, it means you want and expect your gift to include all of those characters. This is a key principle for matching and assignments. However, some people like to give their author further options. We are using the Additional Tags section of the form for this.

If you requested 0 characters, or you want all the characters you selected to appear, you will tick the first Additional Tag option, which says "My gift must feature all of my chosen character tags (if 0: any from tag set)". If you think your situation might be different, please read last year’s post about additional tags and select additional tags that are right for your requests. This information is also in the sign-up form.


Optional Details and Do Not Wants (DNWs)
"Optional details" = prompts, ideas, likes, explanations of how you see the canon. Optional details and DNWs can be recorded in the main text section of your requests.

Optional details are optional (ODAO)! Your writer doesn't have to follow your prompts, though they must avoid your DNWs. You don't have to give prompts here, either - though prompts and ideas may be a more inspiring first impression than a list of DNWs on its own. Prompts may be particularly useful if you are requesting a Worldbuilding tag.

See this 2020 post for some considerations when writing your DNWs. Last year, we also clarified our rules and guidance about DNWs.

The Optional Details section of your AO3 requests is especially relevant if you have selected option two of the additional tags, "My gift must feature all of my chosen character tags; or it may use exceptions I explain in the form". In that case, please use this section of the form for explaining how and when your writer is allowed to leave out some of the characters you selected.

Please use minimal html in the optional details field. No images, please.

Please also note in the form if you're able to receive treats - or if you don't want them! Yuletide has a long-established culture of extra gifts, but if you created your account recently, you may have extra gifts turned off by default. Please check your AO3 preferences, and then state in your sign-up form whether you do or do not accept treats.


Letters
You can write prompts and preferences in another space, such as Dreamwidth, Livejournal, Google Docs, or Tumblr, and put a link in your sign-up. This is known as a "letter". Some people write letters; some don't. DNWs and character subsets that are listed in a letter but not in the Optional Details AO3 textbox cause confusion and difficulty for creators, and will not be enforced by the mods. Otherwise, your letter is an extension of your optional details and is treated the same way.

Important: You cannot add a letter after sign-ups close.

Offers

  • You can offer 4-10 fandoms

  • Each fandom must be different

  • You can offer 2-20 specific characters in each

  • If you want to offer a fandom that has 0-1 characters available, tick the "Any" box

  • If you are willing to write any combination of nominated characters, including Worldbuilding for fandoms where it is nominated, tick the "Any" box

  • "Worldbuilding" can also be selected as a character for many fandoms. Please check here to see how we're using it.

  • Offers are secret! Please don't declare openly what you're offering.


If you have several fandoms in which you want to offer to write Any nominated characters, you can make your last offer a "Bucket Offer". You can read about bucket offers in the Sign-ups section of the AO3 FAQ. This older tutorial has pictures!

Please check the tag set or the app when signing up. The autocomplete drop-down list in the sign-up form may not show all available characters. If they're in the tag set, you can enter them manually.

Sign-Up Summary

The list of requested/offered fandoms will be available after five people have signed up. Bucket offers do not show up in the list. Checking the sign-up summary for people you may be able to write for is a good idea - although many people sign up at the last minute. The sign-up summary says it updates hourly; in practice it may update less frequently.

Fandoms at 1-1 on the sign-up summary may mean that the same person is offering and requesting the fandom, not that there is a match.

I am fine with buses. I am fine on trains. I am fine on boats. I have taken 10-hour long plane rides and been completely fine next morning.

However, for some interminable reason, every time I take a car ride lasting longer than 30 minutes, there is a 50/50 chance I will spend the next few days with a pounding headache sick to my stomach. God only know why.

Tagset corrections are in, and signups are opening soon! It’s just about time to decide what you’ll be requesting and offering.

This year, you can request eight fandoms! Previously, it was six. Because of that, we're reviewing our process for sending author questions.

Each year, we receive questions from authors about their recipient’s requests. These might include clarification on prompts or requests to understand how a DNW applies to a specific fandom–for example, does a DNW for character death include discussion of deaths that occur in canon?

We’re always happy to pass these questions along! Please always contact the mods directly rather than reaching out to the recipient yourself.

Traditionally, when we send these questions to recipients, we try to disguise the fandom the author plans to write for, so the gift is still a surprise. If the question is generic and applies to all fandoms, we can pass it along as-is. If the question is specific to one fandom, our team of volunteers writes decoy questions for the other fandoms and sends along the whole set.

This is fun for us to do, but it takes time. It's also extra work for the recipients to read and respond to multiple questions. This year, as we’re allowing up to 8 requested fandoms (which could mean up to 7 mod-created questions), it seems like a good time to check in and see if our participants find it helpful.
